Job Description
What we need
Symbotic is seeking a Project Coordinator in the Layout Engineering group to serve as the technical-administrative link that keeps engineering workflows moving from design to implementation; handles the logistics, documentation, and communication that keep the projects moving daily. The person in this role acts as the gatekeeper for change management, ensuring all change management records are accurate, current, traceable, and accessible to the right people at the right time. Success in this role requires close collaboration with project managers, internal Symbotic teams, and key stakeholders.
What we do
The System Layout Engineering team is part of the Manufacturing and Supply Chain Organization, which is responsible for developing the customer’s warehouse layout, facilitating supply chain execution, and delivering world-class support to the installation team. The System Layout Engineering team drives warehouse design excellence through the incorporation of internal and external customer feedback with a consistent focus on reducing costs for both material and project execution lead times.
What you’ll do

Serve as a centralized hub for all Layout Engineering change management activities, including supporting the creation, submission, and tracking of engineering change requests (ECRs), engineering change orders (ECOs/bulletins), and retrofit initiatives.

Build and maintain site trackers (e.g., Jira) to monitor implementation progress and ensure alignment across projects.

Process purchase requisitions, track purchase orders, and manage invoices tied to retrofit and change-related workstreams.

Maintain and update CRAID logs (Concerns, Risks, Actions, Issues, and Decisions) in collaboration with the Layout Engineering team to ensure visibility and proactive issue management.

Track and report on key performance indicators (KPIs) across RFIs, ECRs, ECNs, campaigns, bulletins, retrofits, and CRAIDs to support execution transparency and continuous improvement.

Ensure integrity of project infrastructure and documentation by overseeing version control across all project artifacts so teams are working from the most current designs and plans.

Create and maintain standardized templates, tools, and documentation practices to drive consistency across the Layout Engineering organization.

Conduct regular project audits to ensure compliance with project management standards, policies, procedures, and relevant regulations, identifying gaps and recommending corrective actions.

Assist project managers in developing and maintaining project plans, schedules, and budgets across projects.

Coordinate project meetings, workshops, and presentations, including scheduling, agenda preparation, and documentation of key decisions and actions.

Support the preparation and delivery of project status updates, reports, and stakeholder communications.

What you’ll need

Bachelor's degree in project management, business administration, logistics, or a related field preferred.

Minimum of 2 years of experience in fast-paced project management environment.

Previous experience in project coordination or project management, preferably in a project management or logistics environment.

Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.

Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.

Demonstrated proficiency in project management tools and software, such as Jira, Smartsheet, Microsoft Project, Asana, or Trello.

Demonstrated proficiency in project management processes, systems, and technologies, with an understanding of project management principles preferred.

Ability to work independently, as well as part of a team in a fast-paced environment.

Problem-solving skills and the ability to adapt to changing project requirements and priorities.

Flexibility to work occasional evenings, nights, or weekends, as needed, to support project activities and deadlines.
Our Environment

Up to 10% of travel may be required. Employees must have a valid driver’s license and the ability to drive and/or fly to client and other customer locations.
