Forward Financing: Office Coordinator

We are looking for an Office Coordinator to join our People & Culture (“P&C”) team. Manning reception, you will be the welcoming presence of Forward Financing. Behind the scenes, you’ll assist with keeping the office running, directing any incoming inquiries to the right person(s), keeping all of the necessary supplies, snacks/ beverages stocked, and working on various other projects to ensure our office is the best place to work and visit.  
In this role you will:
  • Provide front desk coverage; greet all employees and guests. Make sure guests are comfortable and alert the person they are here to visit
  • Answer the main phone line promptly in accordance with established standards. Transfer calls to the appropriate person(s). Provide phone support and coverage for the office
  • Ensure conference room availability and readiness each morning and throughout the day
  • Prepare meeting/event spaces (I.e. additional seating, technology, food). Post-meeting/event, ensure spaces are picked up
  • Make sure overall office cleanliness is maintained especially common spaces and kitchen
  • Maintain supply inventory within the established budget. Check stock to determine inventory level, anticipate supplies needed and place orders. Order weekly groceries within the established budget
  • Manage all mail including preparation of FedEx labels and other miscellaneous shipping
  • Help with troubleshooting technical issues and/or escalation to the IT consultants
  • Point of contact for building management, possibly other vendors
  • Coordination of restaurant reservations, lunch orders and, occasionally, travel arrangements (transportation and accommodations) for team
  • Provide correspondence support to Executives (scanning, printing, faxing, mailing)
  • Assist teams with special projects and data entry as needed

  • Bachelor’s degree preferred
  • 1-2 years of customer-facing experience ideally as a receptionist or in an administrative capacity in a corporate office setting or front desk/reception role in a fast-paced environment  
  • Experience juggling multiple priorities and willingness to do a variety of tasks
  • Exceptional communicator, able to effectively work with discretion and sensitivity across all levels of the business. Exceptional phone etiquette
  • Solution-oriented with the ability to build relationships across the company with a team of diverse styles, skill sets, and experience levels
  • Detail-oriented with strong written correspondence skills. Proficient using Word, PowerPoint, and basic Excel
  • Experience with Google Suite
