Because of our rapid growth, we are looking for an Administrative Support Specialist to join the Marketing team in the Boston Office.

This role will primarily be providing support for the team Leadership by managing calendars, coordinating travel and expenses and acting as a liaison to Talent Acquisition and other groups. Additionally, this role will provide support for the team by tracking internal programs and initiatives, engaging with employees outside of Boston office and acting as a point of contact for stakeholders both internally and externally.

Responsibilities:

  • Manage executives' calendar and arrange their daily schedule (set up meetings, travel, speaking engagements as needed);
  • Managing team needs as it pertains to office operations and ensuring appropriate equipment is available for each meeting;
  • Managing travel requests;
  • Understanding the needs and characteristics of people with whom you work with;
  • Be the point of contact between team Leadership and company employees/clients and manage information flow;
  • Assists with the development and preparation of information and materials for meetings and presentations;
  • Maintaining effective working relationships with persons at all levels within the company including vendors, customers, employees, consultants, etc.

Requirements:

  • Strong written and verbal communication skills;
  • Strong experience working with Microsoft Office (specifically Outlook and Excel);
  • Structured and accurate with an eye for detail;
  • Outstanding organizational and time management skills.
  • Have a innate sense of urgency;
  • Must be a team player and enjoy collaborating.
