Job Description:

Eyebot is seeking a highly organized and proactive Operations Coordinator to join our team. This role will serve as the assistant to the leadership team and play a pivotal role in ensuring the smooth functioning of our office operations. The ideal candidate will have exceptional organizational skills, attention to detail, a strong sense of curiosity, and the ability to thrive in a fast-paced environment.

Responsibilities:

  1. Executive Support:

    • Provide comprehensive administrative support to members of the leadership team, including calendar management, travel arrangements, and expense tracking.

    • Coordinate and schedule meetings, conferences, and appointments, ensuring all necessary arrangements are made.

    • Prepare meeting agendas, presentations, and materials for board meetings, all-hands meetings, and other company gatherings.

  2. Office Management:

    • Oversee day-to-day office operations, including maintaining office supplies, equipment, and facilities.

    • Act as the primary point of contact for office vendors, building management, and maintenance personnel.

    • Implement and maintain office policies and procedures to ensure a clean, safe, welcoming, and productive work environment.

  3. Communication and Collaboration:

    • Serve as a liaison between the leadership team and internal/external stakeholders, handling inquiries and requests with professionalism and discretion.

    • Coordinate internal communications, including distributing memos, announcements, and updates to the team.

    • Collaborate with cross-functional teams to support company-wide initiatives and projects as needed.

  4. Operations Support:

    • Work closely with the operations, finance, human resources teams to provide necessary support for tasks ranging from imports, accounts payable and receivable, and onboarding.

  5. Special Projects:

    • Assist with special projects and initiatives as assigned by the leadership team, which may include research, data analysis, and presentation preparation.

    • Identify opportunities for process improvement and efficiency enhancements within the operations function.

Your background:

  • Bachelor’s degree or equivalent practical experience preferred.

  • Proven experience in an administrative or executive support role, preferably in a fast-paced startup environment.

  • Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and G Suite applications.

  • Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.

  • Ability to multitask, prioritize, and manage time effectively in a dynamic work environment.

  • High level of discretion and confidentiality when handling sensitive information.

  • Flexible team player with a collaborative spirit.

What we offer:

  • Salary range is $55,000 – $65,000 plus equity
