Job Description:
Eyebot is seeking a highly organized and proactive Operations Coordinator to join our team. This role will serve as the assistant to the leadership team and play a pivotal role in ensuring the smooth functioning of our office operations. The ideal candidate will have exceptional organizational skills, attention to detail, a strong sense of curiosity, and the ability to thrive in a fast-paced environment.
Responsibilities:

Executive Support:

Provide comprehensive administrative support to members of the leadership team, including calendar management, travel arrangements, and expense tracking.

Coordinate and schedule meetings, conferences, and appointments, ensuring all necessary arrangements are made.

Prepare meeting agendas, presentations, and materials for board meetings, all-hands meetings, and other company gatherings.

Office Management:

Oversee day-to-day office operations, including maintaining office supplies, equipment, and facilities.

Act as the primary point of contact for office vendors, building management, and maintenance personnel.

Implement and maintain office policies and procedures to ensure a clean, safe, welcoming, and productive work environment.

Communication and Collaboration:

Serve as a liaison between the leadership team and internal/external stakeholders, handling inquiries and requests with professionalism and discretion.

Coordinate internal communications, including distributing memos, announcements, and updates to the team.

Collaborate with cross-functional teams to support company-wide initiatives and projects as needed.

Operations Support:

Work closely with the operations, finance, human resources teams to provide necessary support for tasks ranging from imports, accounts payable and receivable, and onboarding.

Special Projects:

Assist with special projects and initiatives as assigned by the leadership team, which may include research, data analysis, and presentation preparation.

Identify opportunities for process improvement and efficiency enhancements within the operations function.

Your background:
-
Bachelor’s degree or equivalent practical experience preferred.

Proven experience in an administrative or executive support role, preferably in a fast-paced startup environment.

Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and G Suite applications.

Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.

Ability to multitask, prioritize, and manage time effectively in a dynamic work environment.

High level of discretion and confidentiality when handling sensitive information.

What we offer:

Salary range is $55,000 – $65,000 plus equity
